Policy Statement

Richmindale College recognizes that earning a college degree or credential can also be gained through experiential learning. The latter is referring to any learning experience that took place prior to student’s enrollment in a postsecondary degree program—covering a combination of work experience, internship, non-credit courses, seminars, workshops, trainings, and creative pursuits. These forms of learning can be translated into college credits as subject to various eligibility considerations and guidelines set by Richmindale College as the receiving institution.

This confidentiality and privacy policy applies to personal information about applicants, prospective applicants, students, and employees maintained, used, processed and/or kept in custody by Richmindale College. We ensure that every individual who handles personal data takes all reasonable steps to make sure it is treated carefully and is only shared on a need to know basis.

Data Privacy and Security:

  1. Personal data, including student records, contact information, and any other personally identifiable information, will be collected, stored, and transmitted securely using appropriate technology and encryption measures.
  2. Access to personal data will be granted only to authorized individuals with a legitimate educational or administrative need, and they will be required to maintain strict confidentiality.

User Authentication and Access Control:

  1. Unique login credentials will be provided to students, faculty, and staff for accessing online classes and related platforms.
  2. Regular password updates and strong password requirements will be enforced.
  3. Access privileges will be assigned based on the role and responsibilities of each individual.

Confidentiality during Online Sessions:

  1. Students and faculty members are expected to respect the privacy and confidentiality of all participants during online classes.
  2. Recording or sharing of online sessions without explicit permission from all participants is strictly prohibited, unless required for educational or legal purposes.
  3. Students and faculty members should refrain from discussing or sharing any personal, sensitive, or confidential information during online sessions unless relevant to the educational context.

Communication and Collaboration Tools:

  1. Students and faculty members are expected to respect the privacy and confidentiality of all participants during online classes.
  2. Students and faculty members should use the designated platforms provided by the school for all communication, collaboration, and submission of assignments.
  3. Sharing personal contact information, such as phone numbers or email addresses, between students and faculty members should be done through official school channels only.

Reporting Data Breaches or Privacy Concerns:

  1. Any suspected data breaches or privacy concerns related to online classes should be immediately reported to the designated school authorities.
  2. Richmindale College will investigate and take appropriate actions to address and resolve reported incidents in a timely and responsible manner.
  3. Students, faculty, and staff will be provided with clear procedures for reporting privacy concerns or data breaches, ensuring transparency and accountability.

How Information is Collected

  1. From the information you provide to Richmindale when you contact us and you express your interest in studying
  2. When you apply to study at Richmindale and complete application forms/enrollment forms and when you complete other admissions procedures;
  3. When you make inquiries, or communicate with us via email, through our University accounts in various social media platforms (e.g., Facebook, Youtube);
  4. Through other ways by which you interact with us during your time as a student, employee, donor, or third party, for example from your previous school, university or employers who may provide a reference about you.

How Information Is used

Richmindale uses personal and sensitive personal information as we perform and fulfill our core functions which includes teaching and research. We use your information according to the primary purpose for which it was collected and for other related purposes as required by law and with your consent. We will not share the information with third parties unless you give your written consent or there is an order from the court. We may use and process your information

  1. Educational support: admission, enrolment, assessment/testing, learning activities, graduation, content delivery and learning activities, graduation, student services such as counselling, library use, medical examination, and data analysis;
  2. Research: data analysis, commercialization, and administration;
  3. Employment: recruitment, payroll processing, employee development and other human resource programs and activities, annual physical examination;
  4. Operational/infrastructure management: processing fees, data analysis, financial management, IT, legal and professional services, and educational opportunities, CCTV monitoring, access to systems, identity management and emergency response;
  5. Non-academic matters in support of our core services, including provision of student support services, managing student accommodation, parking within the campus, dealing with grievances and disciplinary actions
  6. For other purposes permitted by law, such as the provision of information to government agencies and legal entities.
